1. Introduction
This Privacy Policy explains how beem.pics ("beem.pics", "we", "us", or "our") collects, uses, shares, and protects personal data when you use our live event photo wall platform (the "Service"), available at https://beem.pics. It forms part of, and should be read alongside, our Terms and Conditions.
beem.pics is based in England and Wales and is the data controller for the personal data described in this policy. We are committed to processing personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Information We Collect
2.1 Information you provide
- Account information: when you register, your name, email address, and a password (which we store only in hashed, non-reversible form).
- Event information: details you provide when creating an event, such as the event name and event date.
- Communications: the content of any emails or messages you send us, for example support or account enquiries.
2.2 Payment information
Payments are processed by our third-party payment provider, Stripe. When you pay for an event you provide your card details directly to Stripe — we do not receive or store your full card number. We retain limited transaction records (such as a payment reference, amount, currency, and payment status) to confirm your purchase, provide support, and meet our legal and accounting obligations.
2.3 User Content
The Service allows you and your event guests to upload photographs and related material ("User Content"). User Content may contain personal data, including images of identifiable individuals. We process this content on your behalf in order to display it on your event wall and make it available to you for download. Your responsibilities in relation to User Content — including obtaining any necessary consents — are set out in our Terms and in section 7 below.
2.4 Information collected automatically
When you use the Service, we automatically collect certain technical and usage data, including your IP address, browser type and version, device information, and server log data (such as the pages or resources accessed and the date and time of access). This data is used to operate, secure, and troubleshoot the Service — for example to detect and prevent abuse and to apply rate limiting.
3. Cookies and Similar Technologies
We use a small number of cookies that are strictly necessary for the Service to function. Under UK law, strictly necessary cookies do not require consent, so we do not display a cookie consent banner. We do not use any advertising, analytics, or third-party tracking cookies.
The cookies we set are:
- Authentication / session cookies (for example our administrator, organiser, and event display sessions). These keep you securely signed in to your account or event display and allow the Service to recognise your session. They are set with security protections (HTTP-only, Secure, and SameSite) and are essential — the Service cannot work without them.
When you make a payment, our payment provider Stripe operates its own checkout pages on its own domain and may set cookies that are necessary for processing your payment and preventing fraud. Those cookies are governed by Stripe's privacy policy.
Most browsers let you block or delete cookies through their settings. Please note that blocking our essential cookies will prevent you from signing in or using key parts of the Service.
4. How We Use Your Information
We use personal data to:
- Create and manage your account and provide the Service.
- Host, process, and display User Content on your event wall, and make it available for download.
- Process payments and provide receipts and refunds.
- Send service-related communications, such as account verification, password resets, payment confirmations, and important notices about the Service.
- Provide customer support and respond to your enquiries.
- Maintain the security, integrity, and performance of the Service, including preventing and detecting fraud and abuse.
- Comply with our legal, regulatory, and accounting obligations.
We do not sell your personal data, and we do not use it for advertising or send you marketing emails without your consent.
5. Legal Bases for Processing
We rely on the following legal bases under the UK GDPR:
- Performance of a contract: to provide the Service to you under our Terms, including creating your account, hosting your event, and processing your payment.
- Legitimate interests: to secure and improve the Service, prevent fraud and abuse, and respond to support requests — provided these interests are not overridden by your rights.
- Legal obligation: to keep transaction records and comply with applicable law.
- Consent: where we ask for it (for example, any optional communications). You may withdraw consent at any time.
6. How We Share Your Information
We share personal data only as necessary to provide the Service, and only with:
- Payment processing: Stripe, which processes payments on our behalf.
- Hosting and infrastructure: our hosting provider, which stores and serves the Service and its data on our behalf.
- Email delivery: our email provider, which delivers service-related emails such as password resets and confirmations.
- Legal and safety: authorities, regulators, or other third parties where we are required to do so by law, or to protect our rights, users, or the public.
- Business transfers: a successor entity in connection with a merger, acquisition, or sale of assets, subject to this policy.
These providers act as our processors and are only permitted to use personal data in accordance with our instructions and applicable law. We do not sell or rent personal data to third parties.
7. Guest Uploads and Photographs of Individuals
Where you create an event, you act as the organiser of that event. You are responsible for ensuring that you and your guests have any necessary rights and consents for User Content uploaded to your event, including consent from identifiable individuals where required, in accordance with our Terms.
In relation to User Content uploaded to your event, beem.pics generally acts as a processor on your behalf, processing that content to provide the Service. If you are an event guest and wish to have a photograph removed, please contact the event organiser, or contact us at privacy@beem.pics and we will work with the organiser to address your request.
8. Data Retention
We keep personal data only for as long as necessary for the purposes set out in this policy:
- User Content: retained for the lifecycle of your event. The live wall is active for 30 days from the event date; your content then remains available via your account for download until 6 months from the event date, after which it is permanently deleted, as described in our Terms.
- Account data: retained while your account is active and for a reasonable period afterwards, unless you ask us to delete it sooner.
- Transaction records: retained for as long as required to meet our legal, tax, and accounting obligations.
You may request earlier deletion of your content or account by contacting us at privacy@beem.pics; we will action valid requests in accordance with applicable law and any legal retention obligations.
9. International Transfers
We aim to store and process personal data within the UK or the European Economic Area (EEA). Some of our service providers (for example our payment provider) may process personal data outside the UK or EEA. Where personal data is transferred internationally, we take steps to ensure it is protected by appropriate safeguards, such as adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.
10. Data Security
We take appropriate technical and organisational measures to protect personal data, including encryption of data in transit (HTTPS), storing passwords only in hashed form, restricting access to systems and data, and applying security headers and rate limiting. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your Rights
Under the UK GDPR, you have the following rights in relation to your personal data:
- The right to be informed about how your data is used.
- The right to access a copy of the personal data we hold about you.
- The right to rectification of inaccurate or incomplete data.
- The right to erasure ("the right to be forgotten") in certain circumstances.
- The right to restrict processing in certain circumstances.
- The right to data portability.
- The right to object to processing based on our legitimate interests.
- The right to withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, please contact us at privacy@beem.pics. We may need to verify your identity before responding. You will not usually have to pay a fee, and we will respond within the time limits set by law.
If you are not satisfied with how we handle your personal data, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk. We would, however, appreciate the chance to address your concerns first.
12. Children
The Service is not directed to, and may not be used by, anyone under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at privacy@beem.pics and we will take appropriate steps to delete it.
13. Third-Party Links and Services
The Service may contain links to, or rely on, third-party websites and services (such as our payment provider). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with personal data.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Where changes are material, we will notify you by email or by posting a prominent notice on our website. The "Last updated" date at the top of this page indicates when it was last revised. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
